Shipment Policy
Delivery and distribution guidelines for dairy products and physical goods associated with farm operations on the platform.

Scope
This Shipment Policy describes how delivery and distribution are handled when your farm uses the Dairy Farm Management System to manage milk sales, customer orders, and related logistics.
The Platform itself is a cloud service and is delivered digitally—no physical shipment is required for software access. This policy applies to physical dairy products and goods distributed through your farm operations.
Digital Platform Delivery
Upon successful registration and payment, access to the Dairy Farm Management System is provisioned electronically through your administrator account.
Login credentials, module activation, and plan quotas are typically available immediately or within one (1) business day after payment confirmation.

Milk and Dairy Product Distribution
Farms using the milk sales and customer modules are responsible for their own product fulfillment, cold-chain handling, quality standards, and regulatory compliance.
Delivery schedules, routes, and quantities recorded in the Platform reflect operational data entered by authorized farm staff and do not constitute a shipping guarantee by P2PClouds.
Product freshness, packaging, labeling, and food-safety requirements are the sole responsibility of the producing farm and must comply with applicable local regulations.
Order Processing
Customer orders captured in the system should be confirmed, prepared, and dispatched according to your farm’s stated delivery windows.
Any changes to order quantity, delivery address, or schedule should be communicated to customers promptly and updated in the Platform for accurate records.
P2PClouds is not a party to transactions between your farm and your customers unless explicitly stated in a separate agreement.
Delivery Areas and Timing
Delivery coverage, minimum order quantities, and time slots are determined by each farm and should be clearly communicated to customers.
Standard delivery windows are farm-specific. Delays caused by weather, road conditions, equipment failure, or supply shortages should be communicated to affected customers as soon as possible.
Same-day or express delivery, where offered, may be subject to additional fees and availability constraints defined by the farm.
Shipping Charges
Delivery fees for milk and dairy products are set by the farm, not by P2PClouds, unless managed under a separate P2PClouds logistics arrangement.
Fees should be disclosed to customers before order confirmation and recorded in the sales module for financial reporting.
Damaged or Missing Deliveries
Customers should inspect deliveries upon receipt and report spills, leaks, temperature issues, or missing items to the farm within twenty-four (24) hours.
Replacement or credit decisions for product quality or delivery issues are handled by the farm according to its customer service policy.
P2PClouds support can assist with Platform-related record discrepancies but does not resolve physical product disputes between farms and their customers.
Cold Chain and Storage
Perishable dairy products must be transported and stored at appropriate temperatures from collection through delivery.
Farms should maintain refrigerated vehicles or insulated containers and train staff on safe handling practices.
Temperature logs and quality checks may be recorded in the Platform’s operational modules where configured.
Hardware and Optional Equipment
If P2PClouds or an authorized partner supplies optional hardware (such as scales, tags, or monitoring devices), shipping terms, carriers, and delivery estimates will be provided at the time of order.
Risk of loss for shipped hardware passes to the recipient upon delivery confirmation by the carrier unless otherwise stated in the purchase agreement.
